RENTAL RULES AND POLICIES

Cancelation/Reschedule/No-Shows:
Cancelations/Reschedules of your rental are acceptable up to 48 hours or earlier before your booking time start. 50% of the rental fee will be returned to you less 4% processing fees by Interac e-transfer.
There are no refunds for bookings canceled within 48 hours of your booking start time or no shows.
RULES AND POLICIES
Welcome to UniverseSoul Dance Studio Rentals!
Please read the rules below that are in place to keep our patrons safe within our facilities!. If you have any questions please contact a UniverseSoul Dance Studio Team Member!
1. UniverseSoul Dance Inc., as Proprietor in the Rental Agreement, reserves the right to cancel the Rental Agreement without notice upon any breach by the Renter. UniverseSoul Dance Inc. also reserves the right to adjust rental schedules with notice. These will only be done with given notice. UniverseSoul Dance Studio (the "Studio") must remain accessible to the UniverseSoul Dance Directors, Staff or their designate at all times. UniverseSoul Dance reserves the right to approve use of areas based on the mandated use of the building. Access may be denied in the event that the use is deemed to be inappropriate by UniverseSoul Dance Directors The Renter must ensure its event abides by all applicable City of Calgary Bylaws as well as with the policies outlined hereinafter. The Renter must ensure its event abides by all applicable Province of Alberta Liquor Laws relating to the serving and consumption of alcohol. The Renter must be a minimum 18 years of age. Smoking is NOT permitted inside the Studio.
2. UniverseSoul Dance Studio is a shared space (unless you have booked the entire studio). Because of the nature of the Studio's services and programs, we cannot guarantee sound proof privacy during your rental. The studio you rented will be for your use but the common areas, washrooms and pathways to get to and from common areas and washrooms will be in used.
3. Capacity:
The maximum capacity of the rental spaces for Faith / Worship Gatherings are as follows:
Large Studio: 55 capacity
Small Studio: 18 capacity
Lobby: 25 capacity
The Renter agrees to maintain the number of Guests defined on the UniverseSoul Dance Rental Agreement form.
4. Booking Procedures:
Contact UV Administration to establish date and time for your event
Confirm your event by providing the required information, agreeing to UniverseSoul Dance Studio Rental Policies and paying a deposit, deposits are required for all rentals and rental durations.
The Renter will be provided a receipt of their payment for all monies paid to UniverseSoul Dance upon completion of each payment. Renters will not be granted any credit.
5. Payment Terms:
Casual Renters: 100% of the rental payment due before your rental to secure the date for your booking. Any extra time added to your booking will be paid at the end of your booking. Unused time cannot be refunded or banked. There are no refunds for studio rentals.
Recurring Renters: 100% of the rental payment for monthly recurring renters is due on the 1st of every month. Any extra time added to your booking will be paid at the end of your booking. Unused time cannot be refunded or banked. There are no refunds for studio rentals.
6. Cancelation/Reschedule/No-Shows:
Cancelations of your rental are acceptable up to 48 hours or earlier before your booking time start. 50% of the rental fee will be returned to you less 4% processing fees by Interac e-transfer.

7. Damage Deposit: The booking deposit will suffice as damage deposit and will be held until after the event takes place. Payments are to be made by credit card.
The Studio will be inspected prior to and after the Agreement Period. A check-in/check-out report will be prepared. As long as no damage has occurred, no excess janitorial services are required, and all keys to UniverseSoul Dance are turned in, the damage deposit amount will be returned to the Renter at the address on the Rental Agreement via e-transfer within (30) days following the event.
8. Damage: The Renter is responsible for accidental or intentional damage to the Studio and its contents for the duration of the rental. The Renter is additionally responsible for the proper behaviors of all Guests while entering, occupying or leaving the Studio.
9. Keys: The Renter shall be responsible for the key(s) signed out as well as for the security of the Studio associated with the use of such key(s). No copies of assigned key(s) shall be made and the keys must be returned immediately following the Agreement Period by arrangements made between UniverseSoul Dance Administration and the Renter. If keys are lost or stolen while in the Renter’s possession, the full total of costs associated with re-keying the Studio locks will be the responsibility of the Renter for which damage deposit funds will also be deducted. Keys will be considered to be lost if not returned within 48 hours.
10. Cleaning Fees: The Renter is responsible for leaving the Studio in its original state. In the event that damage is incurred or that extra janitorial or repair services are required in excess of the deposit amount, Renter will be deemed responsible and will be invoiced following the event. UniverseSoul Dance Administration will deduct from the Damage Deposit funds the cost of cleaning and performing other remedies at the rate of $50.00 per hour.
Any social event/party will be automatically charged $150+GST cleaning fee.
11. Promotion/Signs/Decorations: No signs or decorations are allowed to be attached or in any way affixed to the building exterior; the renter will be responsible for the costs of any damage or defacement to property. No tacks, nails or screws are permitted to be used on the walls or floors. Confetti, rice, or the like is not allowed on UniverseSoul Dance premises.
12. Animals: With the exception of service animals assisting a person with impairment, animals are not allowed in the Studio.
13. Clean-up:
Clean-up must be completed by the designated vacating time. A cleaning charge of $50.00 per hour will apply for any action taken by UniverseSoul Dance Administration. The Renter is responsible for all clean up of the rental space including:
Generally restoring the space to the condition in which it was rented including but not limited to:
Cleaning washrooms to original condition,
Cleaning of the surfaces that they may dirty during the course of their event or activity.
Removing all decorations including any tape used,
Cleaning walls and floors of all spills and sweeping
Collecting and disposing of discarded cigarette butts from outdoor smoking areas.
Turning off all lights and fans (studio, lobby and washrooms)
Turning off all electronics and replacing to original condition used (speakers, aux cord)
Confirming all exterior doors are locked
All items belonging to the Renter or parties related to the Renter are the responsibility of the Renter.
14. Safety:
Any source of ignition or smoke are not allowed inside the Studio.
No weapons are permitted on UniverseSoul Dance premises.
Emergency exits and fire extinguishers must remain clear and accessible at all times.
Information concerning any incident/injury occurring at the Studio must be reported to UniverseSoul Dance Administration as soon as possible

15. Insurance: The Renter must acknowledge UniverseSoul Dance DOES NOT provide any insurance coverage for the Renter's participants or activities. The Renter agrees to save, indemnify and to hold UniverseSoul Dance Inc. harmless from any legal liability for Bodily Injury or Property Damage arising by, or as a result of, the use and occupancy by the Renter of the Studio. The Renter further agrees to waive any right to recover against the Association for loss or damage incurred to the Association’s property during the term of this agreement.
16. Other Equipment Required by a Group: The Renter shall bring in all supplies and equipment required for their event or activity. UV will not provide supplies or equipment.
17. In renting the Studio, the Renter agrees to take the premises at his/her own risk and agrees to indemnify and save harmless UniverseSoul Dace against any and all claims arising from any incident, including any injury or damage sustained by the Renter, any guest of the Renter, or any third party arising from the rental of the Studio or use of any equipment in the Studio.
18. Violation or non-compliance with any of the terms and conditions of this rental agreement will be subject to forfeiture of the damage deposit.
19. Extensive damage exceeding damage deposit is deemed the responsibility of the renter and will be invoiced following the event.
20. Other Equipment Required by a Group: The Renter shall bring in all supplies and equipment required for their event or activity. UV will not provide supplies or equipment.
21. Children under the age of 12 must be accompanied by an adult. It is the Renter's responsibility to supervise children in your care. If behavior is damaging or disruptive, you will be asked to leave and forfeit your rental fee.
22. UniverseSoul Dance Studio is not responsible for your personal belongings. Bring them at your own risk.
23. UniverseSoul Dance Studio reserves the right to amend any part of these rules and policies
24. It is the Renter's responsibility to make sure everyone in your party is aware of these rules and agrees to abide by them while visiting UniverseSoul Dance Studio.
Failure to abide by the above rules and regulations, or failure to follow directions of UniverseSoul Dance Studio team members will result in you being asked to leave the facility and no refunds will be issued.
By booking a rental to UniverseSoul Dance Studio through UniverseSoul Dance Studio Administration, online portals, or any other means, I, the Renter, agree to abide by the above rules and agree to this agreement on behalf of everyone in my party and any minors in my care. I recognize failure to abide by the above rules will result in being asked to leave UniverseSoul Dance Studio and forfeit any payments made to UniverseSoul Dance Studio.
